Professional Directory Vetting and Approval Policy

Beat The Property Agent™

Last updated: 16 October 2026 Beat The Property Agent™ (“BTPA”, “we”, “us” or “our”) is operated by Beat The Property Agent Ltd, a company registered in England and Wales.

1. Purpose of the Directory

Beat The Property Agent (BTPA) helps sellers and buyers find independent property professionals and make informed choices about the support they need. Before a professional profile is published in our directory, we review the application and relevant publicly available information. Our aim is to assess whether the profile presents a credible, clear and consistent account of the professional and their services.

2. Who this policy covers

This policy applies to professionals applying to join the BTPA Professional Directory, including surveyors, mortgage brokers, conveyancers and other property service providers. Checks are proportionate to the service offered and the applicant’s business structure. Where a check does not apply, such as a Companies House search for a sole trader, this should be recorded rather than treated as a reason for refusal.

3. Our review process

Services description

We read the submitted description to understand the services offered, locations covered and professional qualifications or memberships claimed. We look for clear, relevant information and consider whether claims are consistent with the other sources reviewed.

LinkedIn profile

Where available, we review the professional’s LinkedIn profile for relevant experience, professional background and consistency with the application. The absence of a LinkedIn profile does not, on its own, establish that an applicant is unsuitable; further information may be requested.

Relevant professional directory

For surveyors, we check the Royal Institute of Chartered Surveyors Members Directory for the individual/company concerned. For mortgage brokers, we check the Financial Conduct Authority (FCA) for the individual/company concerned. For conveyancers/property solicitors, we check The Specialist Property Law Regulator (CLC) and the Solicitors Regulation Authority (SRA) for the individual/company concerned. For other professionals, we check the relevant professional or regulatory register where applicable to the services and status claimed. We distinguish between individual membership, professional qualifications and a firm’s regulatory status. A match for one does not automatically establish the others.

Business website

We review the applicant’s website, where available, including their services, contact details, areas covered and professional claims. We consider whether these details are consistent with the application and other sources.

Reviews and testimonials

We look at available reviews and testimonials for indications of customer experience and any concerns that may warrant clarification. Reviews are considered in context. Positive reviews do not guarantee future performance, and an individual negative review does not automatically lead to refusal. Public reviews and testimonials may be incomplete or difficult to authenticate.

Companies House details

Where the applicant operates through a registered company, we review its publicly available Companies House details, including its registered name, company number and status, and compare these with the application. A Companies House entry does not, by itself, establish professional competence, financial stability or regulatory approval.

4. Approval decisions

BTPA considers the information reviewed as a whole. We may:
  • Approve the profile for publication.
  • Request clarification, corrections or supporting information.
  • Keep the application unpublished while relevant questions remain unresolved.
  • Decline the application where information is materially inconsistent, misleading, unverifiable or otherwise gives reasonable grounds for concern.
Where a relevant register entry cannot be matched, we seek clarification rather than assume that a person or business is authorised. Approval means that the profile has passed BTPA’s directory review based on the information available at the time. Decisions should be recorded with the review date, sources checked and any material qualifications or unresolved issues.

5. What approval means

Our checks are a review of an application and relevant public information. They are not an audit, an independent assessment of completed work or a guarantee of service quality. Unless expressly stated for a particular profile, the process does not include criminal record checks, credit checks, independent verification of every review, or verification of professional indemnity insurance. BTPA approval is permission to appear in our directory. It is not professional accreditation, regulatory authorisation or endorsement by RICS, FCA, CLC, SRA or any other professional body. Professionals must not describe their BTPA listing in a way that implies a broader assessment or guarantee than this policy provides.

6. Professionals’ responsibilities

Professionals are responsible for:
  • Providing accurate, current and complete profile information.
  • Offering only services they are appropriately qualified and, where required, authorised to provide.
  • Maintaining the qualifications, permissions and insurance appropriate to their services.
  • Keeping their service areas and contact details up to date.
  • Promptly notifying BTPA of material changes, including restrictions, suspension or loss of relevant professional or regulatory status.
  • Explaining their scope of work, fees, terms and complaints process directly to prospective clients.
A directory listing does not transfer these responsibilities to BTPA.

7. Choosing and instructing a professional

Sellers and buyers remain free to choose whom they contact and instruct. Users can access the directory directly and are signposted to it through the BTPA Blueprint. Enquiries, quotations, instructions and service agreements are handled directly between the user and the professional. BTPA does not take a referral fee. Before instructing a professional, users should confirm that the provider is suitable for their particular needs, check relevant current professional or regulatory status, and agree the services, fees and terms in writing. Users may also wish to request confirmation of appropriate insurance.

8. Changes, concerns and further review

Initial approval reflects the information available on the review date. BTPA does not continuously monitor every professional or guarantee that external records remain unchanged. BTPA may review a profile again following a material change, a reported concern, inconsistent information or an indication that relevant professional status has changed. Depending on the circumstances, BTPA may request further information, ask for corrections, temporarily unpublish a profile or remove a listing. Where appropriate, the professional will have an opportunity to respond. A profile may be unpublished while a significant concern is being considered.

9. Reporting a concern and requesting reconsideration

Users and professionals can report concerns through the contact route published on the BTPA website. Reports should identify the profile, explain the concern and include relevant supporting information. BTPA reviews concerns about directory eligibility and profile accuracy. Complaints about work, fees or professional conduct should also be raised with the professional and, where appropriate, their relevant regulator, professional body or dispute resolution service. An applicant or listed professional may request reconsideration of a decision and provide corrections or additional evidence. BTPA will consider that information against this policy.

10. Records and personal information

BTPA should keep a proportionate record of checks, decisions and material correspondence so that approval decisions can be explained and reviewed. Personal information used in this process is handled in accordance with BTPA’s Privacy Policy. Unnecessary personal information should not be collected or retained.

11. Policy review

This policy should be reviewed as the directory develops and whenever BTPA changes the checks it carries out. Published descriptions of vetting should accurately reflect the process in operation.
